Build the business case
from their own numbers

Volumes, channels, coverage and languages come off the record with the call each one came from. Three scenarios, ranges rather than false precision, and a talk track that changes when the model does.

The ask

Hannah Boyd, Finance Director at Vantorre Foods, asks for the business case before the steering group: in-house today against the BPO model, and what the AI piece changes.

Inputs

Annual contact volume, channels, hours of coverage and languages are pulled from dated calls and the accepted proposal, each with its source. Seasonal peak shape was never discussed, so it stays an empty field.

Scenarios

Three scenarios indexed against today: in-house today at 100, with the BPO at 78, with the BPO and AI at 61. An index, not a quote.

Outputs

Payback in two to three quarters. Return index 168 to 214, with an 80% confidence band, and every assumption listed with the call it came from.

Risk

Vantorre revised the volume assumption down and the case fell below the threshold procurement named. The return index reads 112 to 140, and the input that moved it is named.

Your call

Three moves: add the AI scenario to the client-facing case, propose a phased ramp, or bring the economic buyer in to reset the threshold.

Resolved

The rep proposes a phased ramp. Phase one carries the transition at the lower volume, phase two steps up once containment is proven, and the return index recovers to 159 to 198 on the same confidence band.

Talk track

The plain-English summary the rep says on the call, rewritten when the ramp was chosen so the words and the model cannot drift apart.

Deliverables

Client-facing brief, internal briefing, the ROI model as XLSX with inputs, sources and checks, and a read-only link procurement can forward. Filed on the deal, activity logged.

How it works

Four steps, and none of them is typing.

  1. 1

    Inputs come off the record.

  2. 2

    Three scenarios, side by side.

    • With the BPO and AI

      indexed

In-house today, with the BPO, and with the BPO and AI, indexed against today so the shape is the argument. Payback and return are ranges with a confidence band and every assumption listed.

  3. 3

The case falls under the line.

    ROI model

    Sample

The case has fallen below the threshold procurement named.

    Below threshold

When the buyer revises an assumption the case moves with it, and the platform names the input that did it rather than quietly re-rendering a chart. Add the AI scenario, propose a phased ramp or reset the threshold with the economic buyer. The talk track rewrites itself to match whichever you choose.

  4. 4

    Something they can forward.

The risk beat

When something turns, it tells you and shows you the moves.

Here the turn is: The case has fallen below the threshold procurement named. Three moves were offered and a person took one: propose a phased ramp.

Questions

The honest answers.

Where do the figures come from?

From the deal record: volumes, channels, coverage and languages as discussed on dated calls, each carrying its source. Anything nobody has stated is left as an empty field rather than filled with a guess.

Why ranges instead of a single number?

Because a single number implies a precision the inputs do not have. Payback and return are shown as ranges with a confidence band, and the assumptions behind them are listed.

What happens when the buyer changes an assumption?

The case moves, the platform says which input moved it, and it offers the ways back: add the AI scenario, propose a phased ramp, or bring the economic buyer in to reset the threshold. You choose, and the talk track rewrites itself to match.

Can the buyer open it without a login?

Yes. The read-only link is forwardable inside their business, and you can revoke it whenever you like.

The pricing engine behind the case: cost floor, market anchor and value ceiling, with margin guardrails on every shape of the deal.
